Annual General Meeting – Vectis RFC

Attendees

12 members in attendance.

1. Welcome and opening address from Chairman

• The Chairman (Alan) opened the meeting, welcoming all attendees.

2. Financial reports from the Treasurer

• Headline: The club is in a healthy financial position with sufficient capital and reserves for the upcoming season.
• Income & Expenditure: Income increased by ~£10,000 year-on-year (driven by kitchen income; membership remained flat). Expenditure increased by ~£25,000, leading to an excess of expenditure over income for the first time in four years.
o Kit Costs: Increased by nearly £11,000.
o Travel Costs: Subsidised ferry travel remains the largest outgoing. Costs rose from just over £21,000 to over £31,000. Ferry costs increased by 50%, and passenger volume increased by 33% (580 cars / ~2,500 individual journeys).
• Sponsorship & Thanks: Significant gratitude was expressed to principal sponsors Wightlink, associated sponsors, and all club volunteers.
• Subscriptions: Subscriptions will be raised for the first time in two years to maintain travel subsidies and club operations. The new fee structure (inclusive of £10 kit hire) is:
o 1st Player: £90
o 2nd Player / Girls: £60
o 3rd+ Player: £45
• Proposal to accept the financial report and new subscription rates was carried unanimously.

3. Official end of 2025/26 season

• The 2025/26 season was officially closed.

4. AGM to propose and vote for 2026/27 Chair

• Ben Cooper proposed Alan to continue as Chairman for the 2026/27 season, seconded by Bex.
• Proposal carried unanimously.
• Alan accepted the role for one final year, noting a firm succession plan will be put in place.

5. Committee positions

The following roles were proposed, seconded, and carried unanimously for the 2026/27 season:
• Secretary: Ben Cooper
• Treasurer: Rue (agreed to one final year)
• Vice chair: Steve Dixon
• Safeguarding Officer: Bex Edmonds
• General manager: Dave Edmonds (New Role encompassing social media, data and administration)
• Rugby safe lead: Ziv Davey
• Girls officer: Nicole
• Events officer: Claire
• Assistant treasurer: Hayley (New Role - specializing initially in minis)
• Managers representative: Lisa
• Coaching coordinator (with vice chair): Split role - Steve Dixon (Figurehead/Coach liaison) and Steve Thorne (Admin/Qualifications).
• Kit manager: Steve Thorne (taking over from Bex)
• Discipline officer: Nicole (taking over from Dave Metcalf, with thanks noted for his long service from the chairman)
• Sponsorship officer: Vacant (To be combined with Grants; Steve Dixon to approach potential candidates to co-opt later).
• Mini Fixtures secretary: Dave Edmonds
• Membership secretary: Mari (with Ziv Davey assisting/shadowing)
• Volunteer Coordinator: Hayley (Role expanded to include kitchen stock control and standardizing operations).

6. Vote for constitution and rules of Vectis RFC

• Ben Cooper proposed the updated constitution.
• Key updates acknowledged include the promotion of rugby in local schools and executive committee parameters.

• Proposal carried unanimously.

7. Vote in the policies of Vectis RFC

Ben Cooper proposed the adoption of the following club policies en masse:
• Safeguarding
• Code of conduct
• Discipline policy
• Diversity and Inclusion Policy
• Data protection policy
• Health and safety statement

• Proposal carried unanimously.

8. Chairmans Closing speech

• Alan thanked the committee and volunteers for the immense, often unseen hours they put into running the club.
• Highlighted highly positive growth metrics, noting record numbers at recent training sessions and touch rugby (30+ attendees).
• Anticipates the 2026/27 season to be the biggest yet for Vectis RFC. Meeting concluded.
